Defects and quotes
A defect is a fault found on an asset: a pressure too low, a door that no longer closes. It follows its own life until it is repaired — and it is often what triggers a quote.
The path, from the fault to the repair
Defects
Where they come from:
- automatically, when a checkpoint fails and the template says that "a failure creates a defect"; it is born Open, with a Minor severity — a person qualifies it;
- from the field, when the technician reports it from their app, with a photo;
- by hand, from Field › Defects › Report a defect.
What you do with it, from its record:
| State | How it gets there |
|---|---|
| Open | on creation |
| Quoted | by creating the quote from the defect ("New quote") — or with "Quote requested" if the quote is made elsewhere |
| Approved | automatically, when the customer accepts the quote — on their portal or through you |
| Scheduled | by creating the repair work order from the defect ("Create the repair work order"): customer, site, asset and priority are pre-filled |
| Resolved | automatically, when the repair work order is completed — "Repaired by" names it; or by hand, "Mark repaired" |
| Dismissed | by hand, with a required reason: it was not a defect. Possible at any step before it is resolved |
"Qualify" corrects the severity (Minor, Major, Critical) as long as the defect is not closed: it drives the priority of the repair. Your customer sees their defects, and where they stand, in "My issues".
Quotes
A quote is prepared in Field › Quotes, or straight from a defect.
- Draft: the customer, possibly a site, the validity date (thirty days by default), and the lines — label, quantity, unit price before tax, VAT treatment and rate. The totals before tax, VAT and after tax are calculated by themselves; VAT is rounded per rate, as on an invoice.
- "Send": the quote becomes immutable and a PDF is emailed to the customer. It appears in "My quotes" on their portal.
- The decision: the customer accepts or rejects from their portal — or you record their decision ("Accept", "Reject"), with an optional reason. Accepting a quote approves the defects it covers, and managers are notified.
- Expired: a sent quote left unanswered after its validity date expires by itself.
Changing a sent quote? Not possible, and on purpose: the customer has a PDF whose amounts must stay true. "Revise" creates a new quote, with its own number, that takes over the lines; the old one stays on file.
| Quote state | What it means |
|---|---|
| Draft | being prepared, editable, invisible to the customer |
| Sent | gone to the customer, frozen, waiting for their decision |
| Accepted | the customer said yes: the repair can be scheduled |
| Rejected | the customer said no; the defect stays "Quoted", and you can revise the quote or dismiss it |
| Expired | the validity date passed without an answer |
