Invoicing
Cereezer does not ask you to type the work in again: what was done in the field becomes billable items, which the accountant groups into invoices.
Where billable items come from
- Labour: the time spent on site, from the technician's arrival to their departure, becomes an item when the work order is completed. It starts without a price — Cereezer does not know your hourly rate —: the accountant prices it in the draft.
- Parts: each part fitted becomes an item, at its default price (see Parts and stock).
Both start with the VAT treatment Cereezer suggests for that customer: your company's standard rate (declared in "My company") for a customer in your country, the reverse charge at 0% for a business in another member state with a VAT number.
These items only appear in Invoices › To be invoiced once the work order has been validated by the manager: nothing is invoiced that nobody has reviewed.
Preparing, correcting, finalizing
- To be invoiced groups the validated work by customer. "Prepare the invoice" opens a draft for that customer: the items leave "to be invoiced".
- In the draft, the accountant corrects what needs correcting: a quantity, a price, the VAT treatment. Cereezer suggests the treatment from the customer's country and VAT number (the reverse charge between two member states, for instance); correcting it is one click. "Discard" the draft sends its items back to "to be invoiced".
- "Finalize" gives a final number and freezes the invoice: it can no longer be changed. It keeps your company's identity as it was on the day it was issued. Finalizing refuses, naming the line, a line "subject to VAT" at 0% and a line at 0.00: the draft stays a draft, and no number is used up.
- "Send" emails the PDF to the customer. Several finalized invoices can be sent at once from the list's selection.
Correcting a finalized invoice: the credit note
A finalized invoice is never deleted. "Issue a credit note" creates a document with its own number and negative amounts, which cancels it; the original invoice stays on file.
Your identity on documents
General › My company holds what your invoices, quotes and reports print: the legal name, the VAT number, the registration number, the standard VAT rate (17% in Luxembourg), the address, the electronic invoicing address, and a free footer (an accreditation, your contact details). Fill it in before your first invoice: without a standard rate, parts and labour start at 0%, and finalizing refuses it.
Exports
Invoices › Accounting export produces the file your accounting picks up. Analytics (General › Analytics) also give the revenue per technician and the top customers.
