Parts and stock
Cereezer follows what you fit at your customers' premises: which part, taken from where, on which work order. That record feeds the invoice and the report.
The parts catalogue
Field › Parts lists what gets fitted and billed. A part carries:
- its reference (unique in your company) and its name;
- its unit (piece, metre, litre, kilogram) and its default price, carried over to the billable item;
- a minimum stock, optional: when the stock falls below it, a "Low stock" alert goes out — only once, at the moment it crosses it;
- its compatibilities: the asset types it fits. It is then offered first at the office, without ever preventing another choice;
- a maximum fitted per asset, optional: a part that replaces another (an extinguisher for an extinguisher) is fitted no more than that number of times for each compatible asset the work order covers. Empty means no limit.
Locations
Field › Locations says where the stock is:
| Kind | What it is |
|---|---|
| Warehouse | your depot |
| Van | a technician's vehicle — one van per technician, and their parts come out of it |
| Customer site | stock left at a customer's |
A van's record shows what the technician has at hand.
Bringing stock in, correcting it
Two actions, kept for managers because they create or remove quantity, open from Field › Movements:
- Stock entry: what arrives from a supplier — the part, the location that receives it, the quantity. The location's stock goes up by that much.
- Adjust stock: after a stock count, you enter the quantity you count on site, zero included, and a reason. Cereezer records the gap with the recorded stock — either way; if the count matches, nothing is recorded.
Moving and fitting
- Transfer stock: from one location to another — most often from the warehouse to a van —, without changing the total stock. A transfer larger than what the origin holds is refused, with a message.
- Fit a part on a work order: in the field, from the app; at the office, from the work order's record (a forgotten part can be regularised until validation). The part comes out of the van of the work order's technician; if that van is empty, the screen offers to restock it.
- Each part fitted becomes a billable item, at the part's price, and appears on the report.
The movement log
Field › Movements is the log, and it is what counts: purchases, transfers, consumptions, returns, adjustments. A correction is a new movement, never an edit — you can always find out who moved what, when, and for which work order.
