Users and roles
Each person in your company has their own account, and each account has one or more roles. The role decides which screens and buttons appear.
The roles
| Role | Their job in Cereezer |
|---|---|
| Administrator | everything, including accounts, permissions, "My company" and invoicing |
| Manager | day-to-day work: customers, sites, assets, work orders (up to validation), defects, quotes, contracts, stock, analytics. They see invoicing without producing it |
| Dispatcher | the dispatch board: create, date, assign and cancel work orders, transfer stock |
| Technician | the field: their jobs, checklists, the parts in THEIR van, defects, the customer's signature |
| Accountant | invoicing: prepare, finalize and send invoices, issue credit notes; they read the rest without changing it |
Your customers have a role of their own, Customer, which only opens the customer portal — never the office.
A technician only moves their own work orders forward: on a colleague's, the field actions stay closed to them, and their app only receives their own.
Creating and managing accounts
Access › Users lists the accounts of your company.
- Create an account: name, email address, password, roles. The address is unique: it is what you sign in with.
- Activate / deactivate: a deactivated account can no longer sign in, but everything it did stays on file. This is what to do when someone leaves the company. Several accounts can be handled at once from the list's selection.
- Delete sends the account to the bin, from which it can be restored.
- You can neither deactivate nor delete yourself: there might be no one left to let you back in.
A person who registers on their own arrives with an inactive account: an administrator reviews the request and activates it.
Adjusting permissions
Access › Permissions shows the roles × permissions grid: each box is a precise action ("create a work order", "finalize an invoice"…). The rights installed at the start suit most companies; an administrator can tick or untick a box for their whole team. The change applies at once to every account with that role.
Opening the portal to a customer
The portal does not open to a company, but to a person: a contact on the customer's record.
- On the customer's record, under Contacts, the contact must have an email address.
- "Invite to the portal" sends them an email: the link lets them choose their password.
- If they already have a portal account (they follow another of your customers), the access is added to their existing account.
- "Revoke access" closes this customer to them; if it was their last one, their account is deactivated.
An address already used by an employee of your company cannot receive portal access: an account is either internal or a customer's.
